Terms & Conditions
Last updated 6 September 2026
These Terms & Conditions govern your use of the hospital and pharmacy management software (the "Service") provided by Melotech ("Melotech", "we", "us"). By creating an account, signing in, or continuing to use the Service, you agree to these terms. If you are accepting on behalf of a hospital, clinic or other organisation, you confirm you have authority to bind that organisation.
1. The Service
The Service is web-based software for managing patients, consultations, prescriptions, pharmacy stock, laboratory and radiology orders, wards and admissions, billing, expenditure, staff and payroll. Access is provided on a subscription basis according to the plan you select.
2. Accounts and accurate information
- You must provide accurate registration details and keep them up to date.
- You are responsible for keeping sign-in credentials confidential and for all activity under your accounts.
- You must tell us promptly if you believe an account has been compromised.
3. Acceptable use
You must not misuse the Service. In particular, you must not:
- use the Service for any unlawful purpose or in breach of medical, data protection or health record laws that apply to you;
- engage in fraud, spam or misrepresentation;
- infringe the intellectual property or privacy rights of any person;
- upload malware, probe or scan the Service, attempt to bypass access controls, or scrape data;
- reverse engineer, resell, redistribute or circumvent technical limits of the Service.
You remain responsible for the clinical accuracy of records you enter and for obtaining any patient consents required in your jurisdiction. The Service supports care delivery; it does not provide medical advice.
4. Licence and intellectual property
Melotech grants you a limited, non-exclusive, non-transferable right to use the Service within the plan you have purchased. Melotech retains all ownership of the Service and its intellectual property, including the software, documentation and branding. You retain ownership of the data you enter; you grant us a limited licence to host and process it solely to provide the Service.
5. Service level
We work to keep the Service available and reliable, but we do not guarantee uninterrupted or error-free performance. To the fullest extent permitted by law, all implied warranties, including merchantability and fitness for a particular purpose, are disclaimed. You are responsible for keeping your own backups using the export tools provided in the Service.
6. Payment and subscription terms
Subscriptions are billed monthly or yearly in advance at the price shown at checkout. Payment, billing, tax, cancellation and refund mechanics are handled by our reseller and are governed by Paddle's Buyer Terms. Refunds are described in our Refund Policy.
7. Reseller and Merchant of Record
Our order process is conducted by our online reseller Paddle.com. Paddle.com is the Merchant of Record for all our orders. Paddle provides all customer service inquiries and handles returns.
8. Suspension and termination
We may suspend or terminate access where there is:
- a material breach of these terms;
- non-payment of subscription fees;
- a security or fraud risk to the Service or other customers;
- repeated or serious violations of the acceptable use rules above.
On termination you may export your data using the built-in backup tools for 30 days, after which we may delete it.
9. Liability
To the fullest extent permitted by law, our aggregate liability is limited to the fees you paid in the 12 months before the event giving rise to the claim. We exclude liability for indirect, consequential or special damages, including loss of profits, data or goodwill. Nothing in these terms excludes liability for fraud, death or personal injury where that exclusion is not permitted by law.
10. Indemnity
You will indemnify Melotech against claims arising from your data, your unlawful use of the Service, or your breach of these terms.
11. General
- You may not assign these terms without our consent; we may assign them in a merger or acquisition.
- Neither party is liable for delays caused by events beyond its reasonable control.
- These terms are governed by the laws of Sierra Leone, and its courts have jurisdiction over disputes.
- We may update these terms; material changes will be notified in the app before they take effect.
